Setting Up Your Portal Account
Registration
Once ESM Strata registers you for the Portal, you can expect to receive an email resembling the following:
Please note that your Portal account can only be linked to one (1) email address. If you haven't received your activation email and have multiple email addresses registered with ESM Strata, it may have been sent to an alternative email.
If you haven't received the email within 24-hours, please contact our office for assistance. Be sure to check your junk/spam folders in the first instance.
How to Activate and Access Your Portal Account
Steps:
- Click the web link in the email to proceed to the login page.
This will take you to the below page. - Enter your email address (as noted on the email received).
- Enter the temporary password provided to you. We recommend copying and pasting if possible, as it is case-sensitive.
- This should now prompt you to set your new password.
- Read & Accept the User Agreement and Privacy Policy.
- Proceed to log in.
We recommend keeping a record of your password for future use.
Forgot Password
Steps:
Note: If ESM has sent you a ‘forgot password’ email already, proceed to step 6.
- Go to the PropertyIQ Portal website: https://portal.propertyiq.com.au/login
- Click Forgot password?
- Enter your registered email address.
- Click the empty box next to “I'm not a robot”.
- Click Submit.
- You should shortly receive an email titled “Forgotten password”, containing a verification code needed to complete this form (as displayed below).

Form: - Enter the necessary details and create your new password.
Important: The login attempt must be made within 60 minutes of receiving the verification code, as it expires after that time.
Note: If you leave this screen, you can reopen the Portal website and select Forgot password. Then, choose Have a code already? and complete the required information.
Note: If you have requested multiple verification codes, be sure to use the most recent one. If you still haven't received the email within 24-hours, please contact our office for assistance. Be sure to check your junk/spam folders in the first instance.
Note: If you haven't registered for the Portal, you will receive an invitation to activate your account instead. In this case, please refer to the "How to Register" tab above.
Reset Password
Steps:
- Go to the PropertyIQ Portal website: https://portal.propertyiq.com.au/login.
- After logging in, navigate to the left-hand side panel and select Settings.
- You can change your password and modify your notification settings here.
Navigating the Portal
Home Screen
The home screen features an option panel on the left side, providing access to available pages, along with general property information, including a list of all Council Members, an overview of the current insurance policy, and details about your lot. If you own properties in multiple buildings, you can switch between them using the "View other properties" drop-down menu on the left, as shown below.
Note: If you are a Council Member, you will have access to additional details.
Financial
The Financial page offers an overview of the Strata Company's financial status. You can also request a detailed financial report and adjust the date range as needed. However, please note that dates can only be selected from the period when ESM began managing the Strata Company.
The selected report(s), will be directly emailed to you and may take up to 24-hours to be received.
Levies
The upper section of the screen displays your current arrears and the due date for the next levy. Beside it, you'll find a button to make your levy payment, which will redirect you to the DEFT website.
DEFT Payments
DEFT is the payment system that owners use to pay their levies. Your personal DEFT details are listed at the bottom of your levy notices.

The lower part of the screen will display all the lots you own in this building, along with a summary of your levy notices and receipts. You also have the option to download a statement by selecting your desired start and end dates.
The statement will be downloaded as a document in your browser. If you don’t see the download or can’t find the document in your downloads folder, your browser may be blocking pop-ups. For troubleshooting steps, refer to the "Troubleshooting" tab below.
Documents
Here, you can access various Strata Company & Lot documents. Use the search bar to find specific documents, and download them by clicking the download icon shown below.
If you can't find the document you're looking for, it may not be available on the portal. For assistance, please email our office at officeadmin@esmstrata.com.au.

What devices work with the Portal?
It's optismied for use on computers, mobile and tablets. For ease of downloading documents, we do recommend using a computer. If you use a Apple product and experience any issues, please refer to the Troubleshooting tab below.
Is there a mobile app for the Portal?
No, there is currently no mobile app. You must access by going to the Portal webpage.
How does the information in the Portal remain up to date?
The Portal synchronises (syncs) with your management company’s (ESM) PropertyIQ data overnight, so the information displayed on the Portal will be as at the end of the last business day.
Can an owner access properties across different Strata Management businesses (other than ESM)?
Yes, if you own multiple properties managed by other companies that use PropertyIQ, you can view them in your account, provided they are registered under the same email address. The information, pages, and features displayed will vary based on the specific property and the Portal configuration and access controls set by each Strata Management company.
If a Lot has multiple owners with different email addresses, can they all have separate Portal access?
No, currently access to the Portal is only available using one Lot owner's email address.
Once an owner sells a property, will they still have access to the Portal?
No, once we've processed the change of ownership in PropertyIQ, the access will be automatically disabled on the next sync. If you have other properties, your Portal account will still remain active, but you'll only be able to see information for the other properties you own.
Why isn't a document showing in the Portal?
If a document you are seeking is not available on the Portal, please reach out to our office.
Troubleshooting
Not receiving Portal emails?
Emails may take up to 24-hours to arrive. Please check your junk/spam folders. A cache issue might prevent some owners from receiving emails with Portal access details. We recommend that the owner clears their browser history/cache.
History/Cache Clearing Instructions for Google Chrome Browsers
Google Chrome Browsers:
1. Select vertical dots on browser toolbar.
2. Select Delete browsing data.
3. Select “All time” in Time range box.
4. Tick all three check boxes.
5. Select Delete data.
Having trouble setting your password?
There are minimum password requirements for the PropertyIQ portal.
Your password must contain at least:
- 8 characters
- 1 uppercase letter
- 1 lowercase letter
- 1 number
- 1 special character from this set: ! @ # $ % ^ & *
For example: Abcdef1!
We recommend keeping a record of your created password for future use.
Can't remember your username?
Your username is the email address listed in PropertyIQ, attached to your Lot(s). If you own multiple Lots with different email addresses for each, please try using each of your email addresses individually. Any Lots using the same email address are linked to one Portal account.
If you're unable to find the correct one, feel free to contact our office, and we'll provide you with the registered email address.
If you wish to update the email address linked to your account, please inform us in writing at officeadmin@esmstrata.com.au. We will then update your Lot card and send you an invitation to register.
Please note that only one email address can be registered per Lot on the Portal.
Getting a user does not exist message?
If you’re seeing a “user does not exist” message and have recently sold your property, your account has been deactivated because you are no longer an owner of the Strata Company. If you need access to property or lot details, you’ll need to refer to your own records, as we are no longer authorised to provide any Strata Company information, including historical lot records such as financial statements.
Can't open the Portal website?
- Check your internet connection.
- Check the URL address you are trying is correct - https://portal.propertyiq.com.au/login.
- Check that your firewall settings are not blocking the website.
- Clear your browser cache and application storage data (instructions for Google Chrome users are available under the “Not receiving Portal emails?” tab above).
- If you still cannot access the site, please contact our office.
Apple Users
Safari is known to block pop-ups, which can interfere with owners viewing or downloading documents. To enable downloads, Apple devices need the pop-up blocker to be disabled. This can be managed through your device's settings.
Alternatively, try using a different web browser such as Google Chrome.
iPhone/iPad Users
How to Allow Pop-ups and Access Downloads in Safari
Enable Pop-ups in Safari
- Open Settings on your device.
- Navigate to Apps > Safari.
- Alternatively, use the search bar and type “Block” to find the setting.
- Toggle Block Pop-ups off.
Download a Document in Safari
- Select the document you want to download.
- A prompt will appear asking, "Do you want to download [document name]?"
- Tap Download to proceed.
- A blue circle with an arrow will appear in the bottom bar, indicating the download is in progress.
Access Downloaded Files in Safari
- Tap the blue circle icon in the bottom bar.
- Select Downloads from the menu to view recent files.
- Alternatively, open the Files app and navigate to the Downloads folder.
- You can also search for “Downloads” in your device’s search bar to locate the folder.
Macbook Users
How to Allow Pop-ups and Access Downloads in Safari
Enable Pop-ups in Safari
- Open Safari.
- In your menu bar at the top of the screen, click Safari.
- Select Settings (or Preferences on older macOS versions) from the drop-down menu.
- Click the Websites tab.
- In the left menu, select Pop-up Windows.
- Next to "When visiting other websites:", click the drop-down menu with two blue arrows.
- Choose "Allow" to enable pop-ups, and the setting will save automatically.
Access Downloaded Files in Safari
- Open Safari.
- In the menu bar at the top of the screen, click Safari.
- Select Settings (or Preferences on older macOS versions) from the drop-down menu.
- Click the General tab.
- Look for the "File download location" setting. This shows where Safari saves downloaded files (the default location is the Downloads folder).
- To open your downloaded files, click Finder, then navigate to Downloads in the left sidebar.
Alternatively, you can access recent downloads directly in Safari by:
- Clicking the Downloads button (a downward arrow) in the top-right corner of Safari.
- Selecting "Open in Finder" next to a downloaded file.
Note: Older MacBooks may become incompatible with the latest macOS updates, leading to certain functionalities not working properly. If you experience these issues, it is recommended to consult Apple Support for assistance.
