How to order new or replacement keys, remotes and security Fobs

Summary: The Council of the Strata Company instruct ESM as to their preferred key procedures within their complex. The length of time it takes to order a replacement key or fob is entirely dependent on which process is followed at your complex. Costs are different for each complex. There is a cost for the device itself and frequently, an additional sum for the coding. The purchase price is set by the Strata Company, with proceeds going directly to the Strata Company's bank account.

  1. If ESM are authorised to hold stock of devices, then we can organise collection on the same day from our office, or we can post out via registered delivery that same day. We monitor the stock levels and re-order as required, so there is availability as and when our clients need a replacement key or fob.

  2. If ESM are not authorised to hold stock of devices, we must then place an order for the key or fob with the provider upon request. This process will routinely take up to two weeks.

  3. If ESM are not authorised to hold stock and must get Council authorisation for every new order, then we are not permitted to place orders for any keys, fobs or swipes until the Council have given us written permission. In some circumstances, where the Council can be slow to respond to the request, the time taken is dependent on the Council. Once we have the written authorisation, an order can take up to two weeks. Note, that in all circumstances keys must be signed for - either via collection or registered delivery.

ESM administer the process on behalf of the Strata Company and for our service, we charge $33.00 per device if collected from our office. For clients who require the item(s) to be posted, there is an additional $16.50 charge, which covers the cost of registered postage and packaging.

Please follow these simple steps to order a key, remote or security device:-

  • Fill out the form below to request a new or replacement Access Device for your property
  • To request a new or replacement device you must be the owner of the property or an authorised property manager
  • If you are a tenant, please advise the property manager or owner that you require a new device
  • The cost of each device is determined by your Strata Company and not ESM
  • Individual owners are responsible for the cost of issuing or replacing a device
  • You can pick your device up from ESM once you receive notification that it has been processed
  • If you would like us to post you the device, there will be an additional registered post charge of $16.50
    Australia Post have advised of anticipated delays with priority post (As of 22/02/2020)
  • We keep a minimal supply of devices on hand and can issue one straight away if we have it in stock, but if we don't, it may take 1-2 weeks for us to order it in
