How do contractors access properties? Keys/Fobs?

Summary

Most buildings have contractors which will need to gain regular access in order to carry out their scope of works. Some contractors, such as gardeners, may not require any keys or fobs if the site is open. Others, such as cleaners, will require access to all common areas to perform their work.

For a one off site visit, the contractor will either be issued with an entry device via the strata manager which they must return following the site visit. Otherwise, an owner / member of the council may prefer to meet with them on site.

For ongoing access, e.g. fire protection / gardening contractor / cleaners etc. the contractor may be issued with an access device (such as a key or fob/remote) which they will use until such a time as they are no longer required on site.

This will then be collected from them, and passed to the new contractor.

The Strata Company does not usually hold individual unit keys. If a contractor requires access to a specific unit, we will put the contractor in touch with the unit occupant so that they can make arrangements for attendance at a date/time which suits both parties.


Example Case

The cleaners of a high rise complex in Burswood are contracted to clean all the common areas including the roof terrace. They have been issued with a master key and fob for the lift which allows them to access any floor. As they attend site several times each week, they were issued with the access keys and fobs which they have signed for and they will be responsible to hand back, should the strata company decide to terminate their cleaning contract.

All keys issued to contractors are logged so that ESM (and each strata company) know who has what access to the complex at any given time.
