How to join an Outlook MS Teams Meeting Invitation from ESM for an online General Meeting

NOTICE OF GENERAL MEETING 

There is a paragraph at the beginning of each Notice of General Meeting, which states the following: 

 

This applies, unless the Council of the Strata Company has instructed ESM to email an electronic meeting invitation to all owners (if an owner doesn’t have an email address, the Notice will be posted to your registered address). 

You will receive an email invitation, which will look similar to this: 

 

Once you accept the invitation, it will be embedded into your personal email Calendar, with the link to the meeting, and the email in your inbox will disappear. 

HOW TO JOIN THE MS TEAMS MEETING 

All you need to do, is go to the Calendar invitation, and Click here to join the meeting on the day/time of the meeting. 

Once you selected Join Now, you are automatically in the ‘meeting room’. As recipients click this link, they will appear as an icon in the centre of the screen and/or on the side bar as participants. 

Please Note: your Strata Manager may have participants waiting in the ‘lobby’ prior to the commencement of the meeting. 

Ensure your Camera and Mic are off – unless you are speaking to the meeting.

 If the organiser has enabled the Chat function, you can make and read the comments on the right.

 If the organiser has enabled this function, you can Attach files to the group via the Chat function. 

If an attendee wishes to get the attention of the ‘room’ and wishes to speak, they can choose the React tab, and their name in the participants list will show the following.

 Once the meeting is over, you can end it by clicking on Leave.

Important!  

Remember, a meeting will not be recorded without the permission of attendees.


 OTHER OPTIONS TO JOIN 

If you have the MS Teams App on your desktop, a pop-up will appear automatically.

If you do not have the app on your computer, you can select Continue on this browser. This will take you to the same meeting prompts (join meeting, adjust camera and sound settings, etc.).

 


 

Mobile

This is how the meeting invite will come through on the recipient’s device. When the recipient opens the email invitation, they will see the link to join the meeting.

 

There will be an attachment either at the top or the bottom of the email, this has the time, date, location and the link to the meeting. Once you accept the invitation, the meeting will show in your phone calendar and the initial email with the invite will be deleted from your inbox.
